Storage and Inventory Control? 1 Year, 3 Months ago
Hi all,

I have much enjoyed perusing these forums these several months.

Thanks in part to you, I have now started upon the addiction. I am blessed to have acquired a few sets while I do the pee pee dance in anticipation of October.

I've taken a few of my sets out for a spin, nothing worth posting pics of yet, largely because I don't really want to get out more than one set at a time. I had a heck of a time getting My Precious pieces back in the proper holes in the styrofoam when I pulled out lava sets 1&2 to play with.

I can't imagine the nightmare I would endure with more or larger sets out.

I understand that the really useful boxes are the favored storage solution ( despite my misgivings of having them slide and crash against each other in the box while carried to the table).

How do I organize my pieces in the boxes, and ensure that a year or two down the road, I can snuggle them safely back in their boxes for moving? Or how do I do that a half hour after pulling them out? I thought of labeling each piece with a sticker on the bottom, and writing that label in the bottom of its styrofoam compartment (e.g., R&P 1, etc.), but this sounds insane on multiple levels.

Any advice or photos would be much appreciated.
Thank you!

tl:dr: How do I get my pieces back in the right sets in the right spots after pulling out multiple sets?

There are lots of storage solutions posted on the DF forum. Here's 3 but there are much more!

www.dwarvenforge.com/forum?func=view&catid=3&id=47582
www.dwarvenforge.com/forum?func=view&catid=3&id=43285
www.dwarvenforge.com/forum?func=view&catid=3&id=50610

Unless you have more than 10 of the same Sets, I believe putting your DF pieces related to the same theme (caverns, DOE, ROTA, MBS...) together in the same drawers/boxes is sufficient. You open your cavern drawer/box and you can localize very fast which piece you are looking for and know somewhat where to put it back. Knowing exactly which single piece goes in which Styrofoam box is in my opinion a pain you have to go through only when you are moving! There is no need to label your pieces for something you have to do only 2-3-4 times in your life...

I personally keep an Excel file of all the Sets I have and in which quantity to keep track of the extent of my collection and know which Sets I am missing on. I do that too with my D&D plastic minis! ...that was a pain to generate as I have an extensive one (precisely 1266 and expanding)!

Some options for getting pieces back into boxes (regardless of if that's their regular storage or simple moving storage)

1) Take a high quality photo of the pieces in their styrofoam
a) print it out and leave it in the box
b) pull it up on a tablet or laptop (phone might be too small)

2) as you mentioned little stickers on the bottom of each piece with a matching sticker in its cavity.

I still keep mine in their boxes/styrofoam, but I've commissioned some custom furniture to hold mine eventually. So far even when I've pulled out 8-10 sets I've had no trouble repacking. With the existing pictures on the box of what pieces belong in each, its normally not too hard to figure out what goes where. And after a few times you start to remember.

I am curious to know what you have commissioned. I am getting a quote for a custom wood drawer set based on the steel filing cabinets mentioned above. That unit would be the base, and then I am thinking of a hutch on top with display shelves, maybe the full depth of the base, with removable shelves so I can build something and display it... and keep other pieces down below in wide, shallow drawers. I will need more than one, but I am getting a price to see how crazy they would be each. If you have any designs for what you are building/ordering, I'd love to see them.

I'm going through GeekChic, starting with a pair of Keeps and customizing.
www.geekchichq.com/the-keep.html

I'm still waiting to hear back from them on the next steps (I know they've been very busy with conventions and I'm pretty far down the queue).

Basically I asked for a custom solution for solving some combination of the following "problems"
1) 70+ board game collection
2) RPG minis (mainly a lot of WoTC), but a fair number of GW/Bones/KoW (mainly unpainted, but slowly making progress)
3) ~25 DF sets, plus lots of GT coming, plus some buildings from RennaisanceMiniatures.
4) Huge number of science-fiction/fantasy books
5) ~10 linear feet of role playing source books
6) no good "creative" space for laying out builds/encounters (the gaming table is in another room

I know I won't get it all, but they like to know the full range of problems to solve and I look forward to what they come up with. it might be as simple as two of the bases, with normal bookshelf rather than display shelves. But I suspect they'll surprise me in a good way. My first choice is a solving 2/3/5/6.

I was also going to suggest The Keep. It sounds very similar to what shoesan is describing.

I would be really interested in hearing the details of whatever they come up with for you. I just got my Emissary table and GM's Valet last Thursday, and they're incredible. A Keep is definitely on my shortlist for what I want next.

I wish I had space for a table, but I already have a nice dinning room table... Until I move in the indefinite future and can have a dedicated gaming room!..

Funny that you mention the GM Valet -- in my request to them I basically said, "Imagine that the GM's Valet is a wizard's travelling spellbook, I want the wizard's laboratory"

See, that's what I wish I had space for. I'm thinking of asking them for some kind of computer desk/craft table so I have a good place to lay out test setups, paint minis, and work on my Hirst Arts dungeons. Of course, this will all have to wait until my wallet recovers from the table.

I am extremely jealous of your Geek Chic furniture. I actually submitted a resume to them a few weeks ago. Heres hoping I get a response. I have the space for a dedicated gaming table and furniture, just not the money required to get it.

Yeah... the Keep looks pretty much like what I was thinking...except a few more wide drawers at the expense of a shorter top piece. I also thought of just open shelf at the bottom since I knew I wouldn't want drawers at floor level. I like how they put the sliding door on it instead. The Keep is beautiful. I already knew about their tables... I saw them at GenCon. I didn't know about the other stuff they make. I am going to look for The Keep at GenCon this year to see it in person.

Thanks for that link. I am going to show that to the guy I am getting a quote from. He is local and makes custom wood furniture... usually things like kitchen cabinets and such. He does awesome work, so I am sure he could do something like this. And hopefully at less than the near $8,000 price tag!

Print out pictures of the individual pieces (frequently available on that product page) on light card stock. Cut them out. Tape or glue them to the bottom of the large holes. Slide them (loose) into the smaller holes.

When you are ready to put your DF away, just match the pieces to the pictures.

I haven't done this myself (yet), but it seems like it might work...

EDIT: Or, take a picture of the open box with the pieces arrayed around it. Add arrows from each piece to the correct slot. When you are ready to put your DF away, just refer to the picture.
